Keep vehicle information in one place

Give your team a shared record for every vehicle and trailer, including:

• Vehicle name, registration plate, make and model.

• WOF or COF expiry, rego expiry and routine service dates.

• Odometer readings and RUC kilometre limits.

• Insurance provider, policy number and expiry date.

• Photos and useful notes, such as seating capacity or where the keys are kept.

Make responsibilities clear

Record where each vehicle is kept and who looks after it. Assign maintenance tasks to the person who organises the work, whether that is your caretaker, sports coordinator or another member of staff.

Use a school default assignee or choose someone for an individual vehicle, so responsibilities reflect how your school works.

Keep records current with simple renewals

When a WOF, COF, rego or service is completed, record the new date to update the register and reset reminders for that item. Update vehicle details and odometer readings as needed, export the register to a spreadsheet, and retain records when vehicles are sold or retired.
